The mission of the Colorado Coalition for the Homeless is to work collaboratively toward the prevention of homelessness and the creation of lasting solutions for homeless and at-risk families, children, and individuals throughout Colorado. The Coalition advocates for and provides a continuum of housing and a variety of services to improve the health, well-being, and stability of those it serves.

The Colorado Coalition for the Homeless seeks an Administrative Assistant for the Homeless Veterans Reintegration Program (HVRP) to coordinate and support the operations of the team by providing administrative support, data entry, compliance tracking, and other assistance for the day-to-day operations of the department and program. This position is located at 563 E. Colfax Ave., Denver, Colorado 80205 and reports to the Program Manager.

Essential Job Functions

  1. Performs general office duties (ordering office supplies for department, word processing, clerical duties, filing, printing, etc.) and curates an orderly office space.
  2. Greets program participants (vendors, visitors, staff, etc.) in person and over the phone in a manner that is marked by respect for others.
  3. Assists with reports, preparing presentations and any other administrative task for members of the Employment Services.
  4. Completes initial assessments for program participants.
  5. Assists in scheduling orientations for program participants.
  6. Aids program participants with any paperwork or questions.
  7. Maintains clear and thorough documentation of any cash-handling operations.
  8. Keeps track of expenses and purchases for the department in compliance with accounting standards.
  9. Serves as main department contact with RTD. Coordinates bus pass purchasing; tracks transit budgets; manages distribution and inventory of passes according to RTD requirements.
  10. Gathers and enters program outcome data; provides support in data entry for any other Employment Services program staff, as needed.
  11. Ensures order of the waiting room along with organization of the program clothing closet.
  12. Researches and coordinates information for special projects, as assigned.
  13. Maintains and schedules repair for office equipment, as necessary.
  14. Assists staff with obtaining parking permits, as needed.
  15. Schedules various meetings for the department. Performs set-up duties for the meetings, including room reservations, preparation with guest speakers, and A/V equipment management.
  16. Takes and disseminates meeting minutes and other materials for team meetings. Participates in any other meetings as needed.
  17. Delivers and/or picks up program information from other Coalition sites.
  18. Maintains competency in HMIS, EHR, Access Database, Adobe Acrobat, and Microsoft Office Suite (Word, Excel, PowerPoint, etc.).
  19. Responsible for coordination of compliance requirements and managing and prioritizing documents and correspondence in a timely and professional manner.
  20. Performs other duties as assigned.

Qualifications Summary

  1. High school diploma or equivalent degree required.
  2. Experience in a professional office setting is required.
  3. Previous practice performing administrative duties is preferred.
  4. Prior experience with clients experiencing homeless, mental illness and/or substance abuse is preferred.
  5. Volunteer or professional work with veterans in highly preferred.
