Position Summary
AMNH's Center for Biodiversity and Conservation (CBC) works to transform knowledge, from multiple sources and perspectives, into conservation action. Our work encompasses three focal areas:
  1. Multi- or inter-disciplinary research on biodiversity that is linked to conservation, action or outcomes;
  2. Capacity development for conservation and
  3. Convening and connecting of multiple audiences and actors for conservation problem-solving, including through effective communication and collaboration.
We aim to draw on multiple strands of knowledge and engage diverse communities of expertise when approaching complex conservation challenges, as well as advance diversity, inclusion and equity in the field of conservation towards a culturally vibrant conservation workforce.

The Financial Administrator handles the departmental budget and leads financial planning. The position works with project managers to develop annual budgets and identify funding sources, manage grants and track expenses. The position acts as the primary point-of-contact with the Museum's Budget, Finance, Accounting and Purchasing departments.

Job duties include:
  • Lead CBC financial planning exercises and handle the overall department budget. Coordinate budget analysis and reporting with Finance and Development.
  • Work with individual programs and the CBC leadership to build multi-year budgets and funding sources. Develop annual program budgets, including employee allocations to projects, and grant implementation timelines.
  • Review, track, update and reconcile expenses including from staff travel. Maintain an organized tracking system of all requisitions, purchase orders and invoices for the department.
  • Work with colleagues on systems to track grants and expenses to ensure implementation according to agreements, compliance and timely completion and reporting. Adhere to donor reporting requirements for corporate, foundation, government and individual awards/gifts.
  • Liaise with museum Finance, Payroll, Purchasing and General Accounting departments, and with outside vendors or consultants regarding invoices/payments.
  • Work with Human Resources on department structure, position descriptions, procedures, policies and benefits.
  • Coordinate travel with outside participants. Provide proper coding to travel agents and generate travel documents and reimbursements ensuring proper spending against grant budgets.
  • Assist with planning events and workshops held within the CBC. Approve costs and assign budget codes and provide post-event reconciliation of expenses.

The expected salary range for the Financial Administrator is $80,000/annual - $90,000/annual. The AMNH offers an extensive benefits package designed to meet the needs of our dedicated and diverse community.

Pay will be determined based on several factors. The hiring range for the position at commencement is based on the type of work and the scope of responsibilities. The salary and placement offered is based on a number of individualized factors, including, but not limited to, skills, knowledge, training, education, credentials, areas of specialization and depth and scope of experience.
Required Qualifications
  • Bachelor's degree in related field and five years of experience managing complex budget structures with multiple funding sources OR a Master's degree in business administration or related field and 1-2 years of working experience.
Preferred Qualifications
  • Strong experience in all aspects of finance/budget systems, developing and handling significant budgetary and financial affairs.
  • Experience applying analytics to institutional decision-making.
  • Experience in non-profit budget and project management.
  • Ability to develop financial models and analyses.
  • Advanced proficiency with spreadsheets, including pivot tables, conditional formatting, forecasting, macros, charts, databases and financial tracking software.
  • Excellent oral/written communication skills.
