This position provides support for prospective students, enrolled students, faculty and staff in the College of Liberal Arts and Sciences. Broad functions include communicating information, processes and deadlines to prospective students, enrolled students, and staff, assisting with graduate applications, processing and maintaining forms, tracking student progress, assisting with workshops and recruiting events and facilitating degree audit at the Intermediate Professional level. This position works with the team to develop effective workflow and processes.

At the Senior Professional level this position will also provide oversight, analysis, advising, training, and needs assessment for CLAS Graduate programs. This Senior position is an instrumental team member in strategic planning and developing application requirements, recruiting materials, policies, and practices regarding CLAS Graduate Education.

Graduate Academic Services Coordinator What you will do: In this role, this person: Admissions and Enrolled Student Services
  • Facilitate applications, admissions, and student progress among CLAS graduate students.
  • Serve as resource and main point of contact for prospective students, enrolled student, faculty, and staff inquiries regarding graduate student forms, deadlines, graduation requirements, and processes.
  • Assist programs with recruiting materials.
  • Assist with review of application requirements.
  • Apply and monitor compliance of graduate student using rules, policies, and procedures as set by Office of Graduate Education.
  • Maintain records regarding student progress (e.g., leaves of absence, time extensions, transfer credit, exam forms, academic probation).
  • Communicate deadlines and processes for student graduation.
  • Verify certification for graduation.
  • Maintain and verifies documentation for faculty on advisory committees for graduate projects, thesis, dissertations.
  • Assist with communication with registrar and admissions on behalf of students or programs.
  • Assist with processing of forms and submission to appropriate campus offices.
  • Works with students and the CLAS Academic Standards Committee for student withdrawal and grade appeals.

Communication and Outreach
  • Document policies and clarify processes as needed for students, staff, and faculty.
  • Assist in communicating with prospective students.
  • Collaborate with programs in communicating application processes.
  • Assist with updating recruitment materials.
  • Report on changes to policy or processes at CLAS Graduate Program Directors and Assistants meetings.
  • Assist CLAS Associate Dean for Research and Creative Activities and Curriculum Manager in creating and maintaining a catalog of required policies and forms.
  • Facilitate the initiation of graduate program degree audits and assisting in revising as changes occur.
Senior Professionals will also be responsible for the following
  • Conduct needs assessments as needed for CLAS graduate programs, as well as recommend and assist in the design of new or revised processes.
  • Strategically evaluate and guide revisions of application and recruitment materials.
  • Represent CLAS in campus-wide discussions of graduate processes and policies.
  • Facilitate workshops for graduate students and faculty for graduate student success, as needed.
  • Conduct training for Program Assistants in workflow processes.
  • Consult with CU Denver campus and School and College Graduate staff to understand best practices in graduate education and streamlining graduate practices.
  • Serve as a liaison between CLAS Dean's Office and the Office of Admissions and the Office of the Registrar regarding graduate student/program issues.

Compensation and Benefits
  • The salary range for the Senior Level for this position has been established at $55,537 - $61,384 annually.
  • The salary range for the Intermediate Level for this position has been established at $46,281 - $51,152 annually.

The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.

The above salary range (or hiring range) represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

This position is not eligible for overtime compensation.

Qualifications Qualifications you already possess (Minimum Qualifications)

Senior Professional:

  • A bachelor's degree in education, psychology, business, public administration, health care, educational technology, social science, liberal arts, communications, accounting, finance, library science, or a directly related field from an accredited institution.
  • Two (2) years of experience in academic services to graduate programs or students in higher education; and advanced experience with MS Office applications (i.e., Excel and Outlook).

Intermediate Professional:

  • A bachelor's degree in education, psychology, business, public administration, health care, educational technology, social science, liberal arts, communications, accounting, finance, library science, or a directly related field from an accredited institution.
  • One (1) year of experience in academic services in general in higher education; and experience with MS Office applications (i.e., Excel and Outlook).

Substitution: A combination of education and related technical/paraprofessional experience may be substituted for the bachelor's degree on a year for year basis.

Preferred Qualification to possess (Preferred Qualifications)
  • Experience with graduate level admissions services, application, enrollment, or student advising in a higher education setting.
  • Experience with a CRM software, such as Slate, Human Capital Management (HCM) PeopleSoft Campus Solutions (Oracle) or similar record database software.
  • Experience with public speaking, facilitating in person individual and group trainings.
